End-to-End Plex ERP Implementation: ProSpot International Case Study
ProSpot International | Connecting finance, manufacturing, supply chain, and engineering — taking the company from spreadsheets and Peachtree Accounting to a full ERP solution.
“After go-live, we could finally see actual job costs instead of estimates.”
— Roseann Bowman, Former Controller, ProSpot International
The Challenge
ProSpot International needed more than a financial-system installation. Its four core functions — accounting, manufacturing, supply chain, and engineering — ran on disconnected tools: spreadsheets, Peachtree Accounting, and department-level workarounds. The implementation had to connect all four areas at once, not roll them out as separate projects, or the company would trade one set of disconnected systems for another. Lee Stout led the project end to end.
Lee’s Role
Lee’s involvement with ProSpot spanned multiple roles. Work was performed through Lee Stout Consulting for ERP selection before he joined the company, internally as Director of Business Systems, and again through Lee Stout Consulting after his employment ended. This gave Lee responsibility from both sides of the engagement — as an external consultant and as the person accountable inside the business — across the full life of the project.
Implementation Scope
- Designed and documented all business processes prior to configuration
- Accounting, financial reporting, cost accounting, and job costing
- Manufacturing and shop-floor operations
- Supply chain and purchasing
- Engineering and product lifecycle management (PLM)
- Data conversion and cross-functional system design
Verified Results
Clean Conversion. Financial and operational data moved into the new system cleanly, with no rework cycle after go-live.
Correct Financial Foundation. The chart of accounts and costing structure were established correctly the first time.
Actual Job-Cost Visibility. After go-live, ProSpot could see actual job costs instead of relying on estimates.
Realistic Rollout Planning. Implementation difficulty was identified early enough for the company to plan around it.
Recommendation for Lee Stout
Roseann Bowman
Former Controller, ProSpot International
I am writing to recommend Lee Stout, whom I worked with during our ERP implementation at ProSpot International. I served as Controller, responsible for accounting and financial reporting, while Lee led the project end to end as Director of Business Systems.
Lee’s role spanned accounting and cost accounting, manufacturing and shop floor, supply chain and purchasing, and engineering and PLM. What stood out to me was that he understood how those pieces connect. Most of the people we worked with on this project knew one area well. Lee could sit in the same meeting with our production team and our accounting team and translate between them.
From my side specifically, our data came across clean, and the chart of accounts and costing structure were set up correctly the first time. After go-live, we could finally see actual job costs instead of estimates.
Lee was also realistic about timelines. He told us what was going to be difficult before we found out the hard way, which made a real difference in how we planned around the rollout.
I would work with him again without hesitation, and I recommend him for any role that calls for someone who can bridge systems, departments, and people.
